Ascheman, Rosalie06:50:55 pmHi Nancy! I have a question on the final assignment. Is the SWOT analysis for just our program's mission or the program in general like we did for Week 3's discussion?
{Hafner, Nancy}06:51:04 pmWelcome to our week 4 chat session! It looks like Minnesota is in for another stormy night! The watches and warnings have begun!
Ascheman, Rosalie06:51:26 pmMan, I hope the storms break the humidity!
{Hafner, Nancy}06:52:22 pmGreat question, Rosalie. The final assignment SWOT should focus on one of the suggested questions related specifically to your mission statement: Complete the SWOT analysis for your organization’s mission statement. Choose one of the following topics (or another of your own related to the mission statement): staff following the mission, getting buy in on the mission, having a strong mission, awareness by families on the mission?
Ascheman, Rosalie06:52:30 pmOkay, thank you!
{Hafner, Nancy}06:54:13 pmFor example, if you have a concern about staff following (or knowing about) the mission statement of your program, complete a SWOT on that element only. Upload your SWOT and write the reflection, answering the questions as prompted on the Final Assignment.
{Hafner, Nancy}06:54:33 pmOthers may be wondering the same thing - thanks for asking the question!
Brank, Nicole06:55:58 pmHi everyone!
Ascheman, Rosalie06:56:06 pmThank you for the example!
{Hafner, Nancy}06:56:12 pmI can see that Nicole, April and Toni have joined us - welcome!
{Hafner, Nancy}06:57:26 pmWelcome, Casey!
Frazier, April06:51:19 pmGood evening! Not sure if it is the humidity or I'm getting sick, but I have been sneezing, congested and a headache all day! UGH
Frazier, April06:51:31 pmHope the humity goes away!
Ascheman, Rosalie06:58:09 pmMe too! I wake up and can't stop sneezing!
Brank, Nicole06:58:38 pmThere are lots of illnesses going around, we have had a lot of staff call ins last week and today.
{Hafner, Nancy}06:58:53 pmHumidity, wildfire smoke, - not great air quality!
Kirchoff, Heather06:59:53 pmNicole - we've had lots of strep in the students and staff. Lots of call ins!
Notch, Kristin07:00:02 pmHello! I apologize in advance if I loose service.. It just started storming really hard.
Ross, Amber07:00:05 pmHand foot and mouth... 🙁
Brank, Nicole07:00:06 pmI feel you Heather!
Brank, Nicole07:00:35 pmAmber, we just got over having that 🙁
Kirchoff, Heather07:00:52 pmUgh, HFM is even worse Amber! At least strep has meds available... HFM is such a bugger.
{Hafner, Nancy}07:00:53 pmLet's hope for the best, Kristin and Heather! And it's 7:00, so we will begin! *

Kirchoff, Heather07:04:28 pmSometimes you just gotta go with the dumpster fire and learn to roast some marshmallows to make it tolerable!
Evans, Casey07:04:34 pmTomorrow is always a restart (fingers crossed).
Ascheman, Rosalie07:04:44 pmI like that Heather!
Brank, Nicole07:04:52 pmCrossing my fingers for both Toni and Casey!
Yoswa, Toni07:05:33 pmIt was definitely a monday. Could always be worse. Glad everyone else had a good/ok day.
Notch, Kristin07:05:54 pmCasey, I love that you have a positive attitude!
Maameri, Ratiba07:06:02 pmHello everyone
Evans, Casey07:06:09 pmThank you, and thanks for being a group that I can honestly say 5.
{Hafner, Nancy}07:06:30 pmMany of you commented on the discussion board last week that the unexpected staff absences, people "issues", and daily responses to "red alarm fires" tend to occupy much of your time as directors. Let's dive into our topic about action planning with this lens of "putting our fires". *
Ross, Amber07:06:31 pmOf course, we're here for each other!

Evans, Casey07:07:03 pm*
{Hafner, Nancy}07:07:22 pmWhat does your day to day action planning look like? Is it calendar tasks, colored post-it notes, a planned "to do" list or something else?
Ross, Amber07:07:42 pmI rely on my planner and to do lists
Yoswa, Toni07:07:48 pmAll 3 combined, along with a written plan of the day for staff and I daily !
Brank, Nicole07:07:50 pmCalendar tasks, to do list and post its
Ross, Amber07:07:54 pmThere are many colored post it notes too
Notch, Kristin07:07:56 pmPlanned to do lists
Roering, Angela07:08:22 pmCalendar tasks and Apple Reminders
Frazier, April07:01:51 pmI use sticky notes for to do's and my google calendar for appointments and stuff like that.
Notch, Kristin07:08:30 pmand calendar meetings
Ascheman, Rosalie07:08:28 pmA mess... I'm actively trying to create something that will help me. I rely on post-it notes everywhere
Brank, Nicole07:08:55 pmI am with you Rosalie.
Evans, Casey07:08:54 pmGoogle calendar for sharing of all directors, sticky notes for "brought to me" things while in a day and a hand-written to-do list from prior day(s) on the upcoming day.
{Hafner, Nancy}07:09:04 pmThe goal of an Action Plan is to achieve an end goal - is that part of your daily planning as well?
Kirchoff, Heather07:09:31 pmSame as Rosalie.. I've got things scattered everywhere. We have goals and to-dos and lists galore, but rarely an action plan laid out anywhere.
{Hafner, Nancy}07:09:37 pmLet me share an example from my day..
Maameri, Ratiba07:10:11 pmYes,Nancy! to get things done by the end of the day!
Ross, Amber07:10:30 pmSome days it's just to make it to the end of the day!
Ascheman, Rosalie07:11:04 pmI make to-do lists, but I usually forget to check it. I also buy planners with such great intentions and little to no action. I'm making it an effort to get better at making google calendars.
Ascheman, Rosalie07:11:38 pmI'm with Amber
Brank, Nicole07:12:01 pmVery true Amber!
{Hafner, Nancy}07:12:11 pmWe are offering a basically free early education certificate degree at Ridgewater College beginning fall semester. My Action Plan for today consisted of three tasks related to marketing and recruitment: 1. compiling a list of regional programs that I could send the flyer to; 2. double-checking the roster status of current students; and 3. meeting with Student Services about applications. All of these tasks were directed to my end goal of maximizing enrollment into the cohort.
Maameri, Ratiba07:12:49 pmmake daily to do list on google keep (using boxes, check them off when I am done, and I can bring them up if same duties for another day, no time to write again the list 🙂
Roering, Angela07:12:53 pmThat's a great action plan!
Brank, Nicole07:13:21 pmThat's a great action plan Nancy!
Maameri, Ratiba07:13:34 pmThat a good a
Ascheman, Rosalie07:13:30 pmI aspire to be as organized as you!
Ross, Amber07:13:45 pmRosalie, same!
{Hafner, Nancy}07:13:50 pmHopefully you received my email last evening about preparing for tonight's chat. If not, try to think of how you might answer this question:
Yoswa, Toni07:13:51 pmI have a daily action plan for myself as well as create one for the school. To ensure we are all on same page for breaks, lesson planning, tours, etc. More communication on how the day breaks down is a daily goal to a productive day for everyone (action plan )
Notch, Kristin07:13:55 pmI think action plans can be as simple as completing our daily and monthly tasks. To big picture items such as revamping a handbook or class schedules for the following year.
Ross, Amber07:14:00 pmSome days look like that..others not so much
Brank, Nicole07:14:04 pmWhat's your secret Nancy!
Maameri, Ratiba07:14:09 pmGOOD plan Nancy!
{Hafner, Nancy}07:14:33 pmWhat is something you discovered or identified during the SWOT analysis of your program that you will create an Action Plan to address, say in the next 1-3 months?
Maameri, Ratiba07:14:46 pmThanks Nancy for the summary email
Ross, Amber07:14:57 pmReviewing our onboarding process
{Hafner, Nancy}07:15:07 pmThat is a meaningful goal, Toni!
Ascheman, Rosalie07:15:18 pmI picked enhancing our local marketing to (hopefully) increase enrollment
Brank, Nicole07:15:37 pmReviewing how we do parent paperwork and enrollment.
Yoswa, Toni07:15:37 pmHigher family engagement (referrals, social media, etc)
{Hafner, Nancy}07:15:50 pmYes, Kristin, sometimes the planning to complete certain daily tasks meets an overarching goal of strong organizational management!
Frazier, April07:09:18 pmMy onboarding process, I have been working on a Power Point instead of them reading a binder of information. I am just waiting to get it approved and then do any final touches to it.
Roering, Angela07:16:24 pmI realized we need a better marketing plan, so I’ll be working on an action plan to help boost community presence and enrollment over the next few months.
Evans, Casey07:16:27 pm Toni, I have faltered on some of those little ones lately due to some health stuff with myself personally, and wow what a necessity they are- lol!
Kirchoff, Heather07:16:58 pmI think revamping our parent handbook, especially to be in line with a new mission statement, will be what I action plan for. Heck, maybe even action planning to create that new mission statement first of all!
{Hafner, Nancy}07:17:26 pmExcellent ideas - tending to be longer term "projects" or action plans to develop and execute over time.
{Hafner, Nancy}07:18:30 pmLet's go back to tonight's questions, I digressed a bit...but still relevant! *
Brank, Nicole07:18:37 pm*
Yoswa, Toni07:18:39 pm*
Roering, Angela07:18:41 pm*
Maameri, Ratiba07:18:43 pmimproving shift transitions . Action plan : Meet with staff and brainstorm together - Document and take notes - work on schedules
Kirchoff, Heather07:18:42 pm*
Frazier, April07:12:14 pm*
Evans, Casey07:18:52 pmI think action planning is more of a daily end result wanted more often than not for me.
Peralta, Mirla07:18:59 pm*
Maameri, Ratiba07:19:03 pm*
Notch, Kristin07:19:06 pmEither revamping our parent handbook to update them with the new MN logo and update policies or create a new marketing plan and schedule.
Ascheman, Rosalie07:19:01 pm*
Ross, Amber07:19:11 pm*
{Hafner, Nancy}07:19:15 pmWhy are written plans helpful? What is the drawback of failing to document (write down) action plans?
Ross, Amber07:19:53 pmWhen you write it out it's more meaningful because it is wrote down. You have something to look back on
{Hafner, Nancy}07:20:02 pmEven if the plan is less formal than the suggested format in our readings for this week...
Yoswa, Toni07:20:02 pmWritten plans are helpful for the accountability and staying on task
Notch, Kristin07:20:08 pmIt is easier to hold yourself accountable when you document the plan, steps to achieve the plan, and who you can delegate tasks to.
Brank, Nicole07:20:09 pmWritten plans are helpful so you can go back and revisit them in the future, and it will be easier to make the changes.
Kirchoff, Heather07:20:11 pmWritten plans help keep things on schedule, thought processes straight, and give something to walk you along with accountability. Since we are pulled so many different directions as directors, not writing things down mean things get lost, forgotten, mishandled, double-done, etc!
Roering, Angela07:20:15 pmWritten plans help with accountability, staying organized, and tracking progress.
Maameri, Ratiba07:20:20 pmEnsures everyone is on the same page,
Frazier, April07:13:48 pmA big downfall would be not remembering what was needed to be done. I know for myself, if I do not write it down it will get forgotten.
Ascheman, Rosalie07:20:45 pmWritten plans are helpful because then your ideas are on paper and less likely to be forgotten
{Hafner, Nancy}07:20:57 pmThat sounds like my grocery lists, Rosalie!
Maameri, Ratiba07:21:01 pm staff can be held accountable for completing tasks. Saves time and improves outcomes
Maameri, Ratiba07:21:43 pmI agree April, same here, not written means forgotten
Ross, Amber07:21:59 pmYes! I forget a lot...
Brank, Nicole07:22:08 pmMe too!
{Hafner, Nancy}07:22:34 pmYes to all - accountability, revisiting goals, naming others who need to be involved, organization, tracking progress - if done well and with integrity and intentionality it will save time and improve outcomes for the program!
Maameri, Ratiba07:22:39 pmWith all what is on the plate, who doesn't forget
Ross, Amber07:22:53 pmTure, Ratiba
{Hafner, Nancy}07:23:45 pmOne element of a good action plan is including others in its development and execution *
Yoswa, Toni07:23:52 pm*
Roering, Angela07:23:51 pm*
Kirchoff, Heather07:23:54 pm*
Evans, Casey07:23:54 pmRemembering!! lol
Brank, Nicole07:23:55 pm*
Ross, Amber07:23:56 pm9*
Frazier, April07:17:27 pm*
Maameri, Ratiba07:24:02 pm*
Evans, Casey07:24:01 pm*
{Hafner, Nancy}07:24:07 pmHow are your delegation skills? How might a detailed and specific action plan assist you in delegating to others?
Peralta, Mirla07:24:08 pm*
Frazier, April07:18:35 pmIt shows them what needs to be done instead of them thinking you are just making them do a bunch of stuff that is meaningless.
Brank, Nicole07:25:18 pmI have been learning to delegate simple tasks to others. I think if I had a detailed plan, it would be easier to delegate the tasks.
Maameri, Ratiba07:25:33 pmI learned my lesson, delegating is Key, we can't do everything by ourselves, we need others plus it give them some leadership and pride
Kirchoff, Heather07:25:32 pmI wish I had more people to delegate to! I don't know that any of our current staff could handle taking on additional tasks or responsibilities, nor does the owner have it in budget to have them out of the room (coverage) or to be given extra hours. Does anyone else share this issue? I'd love to delegate if I felt like I could ethically do so!
Yoswa, Toni07:25:39 pmDepending on what I am delegating... delegation would be based on my available people and tasks at hand. If I have certain tasks assigned to certain individuals I create action plan for the day to ensure they have time available to complete the delegated tasks.
Ross, Amber07:25:44 pmI have also learned a lot about delegating in my position
Ascheman, Rosalie07:25:46 pm*
Notch, Kristin07:25:54 pmI am getting better at delegating tasks to others. I never want to add tasks to anyone else's plates. However, I can't do it all by myself either. 🙂
Ross, Amber07:26:04 pmYou have to really know your team, weather or not they can handle said task
Brank, Nicole07:26:23 pmI agree Amber.
Ascheman, Rosalie07:26:24 pmI am not very great at delegating. I usually just want to do everything myself, but then I get stressed out. I need to get better at delegating tasks
Evans, Casey07:26:24 pmMy delegation skills are pretty good. Sometimes I rather not delegate because I want something done a veryyyy specific way or I want to do it myself but I know that I need others' help and I know that getting others doing it, creates amazing things too!
Ross, Amber07:26:50 pmI agree, Casey! It's a hard balance
{Hafner, Nancy}07:26:56 pmHuman relations, staff management, clear communication - all Administrators competencies many of you identified in week one as important to your role as a leader!
Ascheman, Rosalie07:27:02 pmI feel like an action plan would help me break down my goal into little tasks so that I'm able to see which tasks I can hand off versus which tasks that I should do myself
Maameri, Ratiba07:27:58 pmDelegating some tasks to staff and hiring specific people for specific tasks part time job, was so helpful for me
{Hafner, Nancy}07:27:56 pmLack of support makes delegation more challenging, Heather.
Ross, Amber07:27:57 pmRosalie, I think it would make it more manageable seeing it in smaller task too!
Ross, Amber07:28:13 pmNancy, never thought of it that way!
{Hafner, Nancy}07:28:44 pmThank you for reminding us that it might be an ethical dilemma to delegate tasks to others if they are not part of the job description!
Ascheman, Rosalie07:28:44 pmI haven't either! That's a great point, Nancy
Brank, Nicole07:29:27 pmThat is a great point Nancy.
{Hafner, Nancy}07:29:54 pmIt can also be difficult to delegate if you are the type of Transactional Leader who values relationships and harmony (I recall that was many of you in the HR course!) We don't want to "rock the boat"
Roering, Angela07:30:09 pmI've found it a lot easier to delegate when I have a very clear goal and action plan. Without that, interpretations can vary, and I may not be happy with the results.
Ross, Amber07:30:36 pmAngela, that makes all the difference for sure!
Brank, Nicole07:30:43 pmvery true Angela.
Maameri, Ratiba07:31:31 pmYes I agree Angela!
{Hafner, Nancy}07:32:01 pmThe act of delegating brings us to the next step in action planning - Who should know about the plans once they are developed and approved?
Ross, Amber07:32:24 pmThe individuals that it includes/effects
Yoswa, Toni07:32:29 pmanyone that it impacts
Brank, Nicole07:32:40 pmOther people on your Admin team and teachers if it impacts them.
Ascheman, Rosalie07:32:48 pmAnyone that is inluded
Maameri, Ratiba07:32:53 pmStaff-families
Ross, Amber07:32:53 pmYes, admin team forsure
Kirchoff, Heather07:32:54 pmEveryone it affects! Families, staff, stakeholders/board members
Roering, Angela07:33:09 pmEveryone involved in the reaching the goal!
Notch, Kristin07:33:17 pmAnyone that is directly impacted by the action plan or staff members that can help with delegated tasks
Maameri, Ratiba07:33:37 pmDepending of the plan if it concern only admins, or include staff and or families
{Hafner, Nancy}07:33:43 pmAbsolutely! And it is also helpful if the plan that is being launched includes those impacted during the development phase, whenever possible!
Frazier, April07:27:15 pmNot only our bosses (ex: owners) but the staff or really anyone that it will affect or involve.
{Hafner, Nancy}07:34:17 pmLet's try a "what if" scenario *
Kirchoff, Heather07:34:22 pm*
Ross, Amber07:34:23 pm*
Brank, Nicole07:34:25 pm*
Yoswa, Toni07:34:28 pm*
Maameri, Ratiba07:34:31 pm*
Frazier, April07:27:57 pm*
Peralta, Mirla07:34:33 pm*
Roering, Angela07:34:38 pm*
Ascheman, Rosalie07:34:41 pm*
Notch, Kristin07:34:45 pmNancy- yes, staff like to feel involved in making decisions that impact them vs. this is how it's going to be and here is what YOU need to do to help.
Notch, Kristin07:34:59 pm*
{Hafner, Nancy}07:35:20 pmThink back to your action plan goal you mentioned earlier. One of the challenges with action planning is the unknown – what kinds of ‘unknowns’ might impact your plan and cause you to have to revise the plan?
Ross, Amber07:35:58 pmPolicy changes
Kirchoff, Heather07:35:59 pmChanges in legislation... like that bill about cameras that was making its way through at one point
Ascheman, Rosalie07:36:07 pmA task that becomes more important
Ross, Amber07:36:11 pmHeather, that was rough!
Yoswa, Toni07:36:12 pmBudget and time.
Brank, Nicole07:36:24 pmPolicy changes
Ascheman, Rosalie07:36:26 pmBudget too
Ross, Amber07:36:46 pmMoney and time as well... Money money money.. gets in the way of all early childhood things..... 🙂
Kirchoff, Heather07:36:46 pmStaffing changes, like unexpected resignations
{Hafner, Nancy}07:37:14 pmIn my personal example shared earlier, I was creating a database of program contact information from Parent Aware. What if my source was not current and half of my emails got returned? That is an unknown I did not prepare for! Fortunately that did not happen today!
Roering, Angela07:37:32 pmBudget, staffing changes, community response
Yoswa, Toni07:37:41 pmHeather.. cameras is minor compared to the 2026 new law for 15 minute paid breaks every 4 hours of work...that is already passed!
Frazier, April07:31:14 pmAny changes to the onboarding process or things that need to get added to the training. I would have to revamp the PowerPoint if and when that happens.
Ross, Amber07:38:01 pmOR ESST!
{Hafner, Nancy}07:38:09 pmA revised policy on cameras was approved during the last legislative session, but not to its original extent.
Ross, Amber07:38:12 pmand not needing any notice to call in (which they changed)
Peralta, Mirla07:38:34 pmI think unexpected resignations or even not show ups are a big problem in this field right now!
Ross, Amber07:38:37 pmCorrect, the original one would of been tough
Kirchoff, Heather07:38:55 pmToni - I thought that was already a thing! Maybe the logistics of it I was unclear on. I thought that's how we operated with the paid 30mins or unpaid hour lunch. Uffda.. I'll have to look into it.
Notch, Kristin07:39:00 pmTrying to delegate a task and the person has a different idea to implement or doesn't have time to help with said task and you need to find another person to help.
{Hafner, Nancy}07:39:03 pmGreat example, April and others - legislative changes to licensing regulations always impacts programs in some way!
{Hafner, Nancy}07:39:53 pmLast question for tonight *
Ross, Amber07:39:56 pm*
Ascheman, Rosalie07:39:57 pm*
Brank, Nicole07:39:58 pm*
Roering, Angela07:40:03 pm*
Maameri, Ratiba07:40:06 pm*
Kirchoff, Heather07:40:06 pm*
Notch, Kristin07:40:13 pm*
Yoswa, Toni07:40:12 pm*
Peralta, Mirla07:40:14 pm*
Frazier, April07:33:48 pm** Casey is having internet issues, she is trying to log back in. She just sent me a text message.
Frazier, April07:33:53 pm*
{Hafner, Nancy}07:40:29 pmWhen have you needed to put an action plan on hold or simply let it go? How did that feel?
Ross, Amber07:41:31 pmCan be hard at times, especially if you have already put a lot of time into it. or it did not turn out as planned
Frazier, April07:35:10 pmI have not done an action plan before this class, but I would say it would not feel good I'm sure.
Brank, Nicole07:41:46 pmThe action plan that I choose is the one that I have had on hold for the last year, and I can't wait to get to work on it and complete it because I know that it will make my job easier!
Yoswa, Toni07:42:09 pmLast organization I worked for as regional director...it was a pretty big action plan that was needed that owner refused to meet me on. It was an awful feeling and to me not ethical ...I left that organization.
Ascheman, Rosalie07:42:09 pmI haven't had an action plan for work, but thinking of a goal I had that I had to let go sucked, but that doesn't mean it can't happen in the future.
{Hafner, Nancy}07:42:22 pmGood for you, Nicole, keeping the dream alive even when it was challenging!
Brank, Nicole07:42:30 pmYES!
Peralta, Mirla07:42:37 pmHaven’t had one yet
Kirchoff, Heather07:43:19 pmThe big one was last year. We had a plan to start adjusting our program to be an ASL heavy environment - meaning training staff in on it and building each age group so basics started in Infants and short interactions/conversations by PreK. We had good, strong, solid staff at that point and it felt like the perfect time! Then we had an unexpected event which resulted in immediate termination of a Lead and a whole restructuring of staff patterns, home rooms, etc. We had to do damage control for that and never got back into the swing to complete that action plan.
Notch, Kristin07:43:30 pmIt is hard not to feel like you "failed". However, it doesn't mean that you can't implement the plan in the future or go back to the drawing board to revamp your original goal in a different way.
Roering, Angela07:43:42 pmPutting plans on hold is difficult for me as it always feels like their is a project hanging over my head.
Brank, Nicole07:44:23 pmAngela, I get it, I hate that feeling also.
{Hafner, Nancy}07:44:46 pmThank you for sharing those feelings; as Casey said earlier, this is safe space and a place to feel supported in your work!
{Hafner, Nancy}07:45:14 pmA few final thoughts before we say goodnight...
Maameri, Ratiba07:45:17 pmWe had a plan to remodel the infant room, and before we finish everything and putting all the signs back on, the licensor came for the inspection, and I also miss my scheduled community practice. So we have to be flexible with our action plans, not always work perfectly!

{Hafner, Nancy}07:47:01 pmAt the beginning of the chat, Rosalie asked for clarification on the final assignment SWOT. If you have any questions about how to do that or want to make sure you are understanding correctly, go back to the beginning of the chat transcript for clarification. Several of you mentioned MONEY as the culprit for changes to organizational goals and plans. Budgeting is our topic for week 5!
